SafeDocs is a St. Lucia-based SME back-office platform operated by Sabina Shera Valmont, trading as SafeDocs (yoursafedocs.com). SafeDocs provides payroll processing, HR compliance, business documentation, data entry, accounts processing, and related consultancy services, as well as digital document toolkits and business tools for SME operators.

By accessing the SafeDocs website, purchasing a digital product, or engaging SafeDocs for services, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, please do not use the website or services.

Where a separate written service agreement exists between SafeDocs and a client, the terms of that agreement shall prevail over these Terms in the event of any conflict.
You may use the SafeDocs website for lawful purposes only — to access information, use the available calculators, submit enquiries, register for webinars, and purchase digital products.

The payroll, NIC, overtime, and vacation leave calculators on the SafeDocs website are provided as general reference tools based on St. Lucia's NIC Act and Labour Code. Results are indicative only and should not be relied upon as legal or professional advice without verification. SafeDocs accepts no liability for decisions made solely on the basis of calculator outputs.
The SafeDocs website contains links to external resources, including government websites and platforms such as Payhip and Google Forms. We are not responsible for the content, availability, or practices of any third-party websites.
When you purchase a SafeDocs digital product — including but not limited to the HR Essentials Toolkit, SME Operational Efficiency Toolkit, Occupational Health & Safety Toolkit, or any individual template — you are purchasing a non-exclusive, non-transferable licence to use the product for your own business purposes.
Due to the digital nature of our products, all sales are final. We do not offer refunds on digital product purchases once the file has been accessed or downloaded. If you experience a technical issue with your purchase, contact us at businessautopilot@yoursafedocs.com and we will resolve it.
All digital products are prepared with reference to St. Lucia's Labour Code, NIC Act, and Occupational Safety and Health Act as at the effective date of the product. SafeDocs will update products where material regulatory changes occur, but does not guarantee that all products reflect the most current legislation at any given time. Users are encouraged to verify current requirements with the relevant regulatory authority.
SafeDocs provides back-office consultancy services including payroll processing, HR compliance, data entry, accounts processing, business process design, and related services. The specific scope, deliverables, timelines, and fees for each engagement are agreed in writing prior to the commencement of work.

SafeDocs processes payroll and HR data based on information provided by the client. We are not responsible for errors or omissions arising from inaccurate, incomplete, or late information provided by the client. Where we identify discrepancies, we will flag them and seek clarification before finalising outputs.
SafeDocs is a back-office services provider, not a law firm or accounting practice. Our services do not constitute legal advice, tax advice, or auditing. For legal interpretation of employment law, tax matters, or statutory compliance questions requiring professional certification, clients should engage a qualified attorney or chartered accountant.
Digital product prices are displayed in USD on the Payhip store. Payment is processed securely through Payhip and PayPal. SafeDocs does not store your payment card details. All sales are final once a digital product has been accessed or downloaded.
Service fees are agreed in writing before work commences. Invoices are issued in XCD (Eastern Caribbean Dollars) unless otherwise agreed. Payment terms are as stated on each invoice. SafeDocs reserves the right to pause or suspend services where invoices remain unpaid beyond the agreed payment period.
Where payment is not received by the due date, SafeDocs may apply a late payment charge as specified in the service agreement. Continued non-payment may result in suspension of services and, if necessary, recovery action.
Both parties agree to keep confidential all non-public information received from the other in connection with a service engagement. This includes — but is not limited to — employee data, business financial information, client lists, pricing, and operational processes.
SafeDocs will not disclose confidential client information to any third party except:
This confidentiality obligation survives the termination of any service engagement.
All content on the SafeDocs website — including text, design, calculators, articles, templates, toolkits, and branding — is the intellectual property of SafeDocs. You may not reproduce, distribute, or create derivative works from this content without prior written permission, except as expressly permitted under Section 4 (Digital Products).
You retain ownership of all data, documents, and materials you provide to SafeDocs. By providing them, you grant SafeDocs a limited licence to use those materials solely for the purpose of performing the agreed services.
Upon full payment of fees, ownership of custom deliverables prepared specifically for a client (such as employee handbooks or custom SOPs) transfers to the client. SafeDocs retains the right to use underlying frameworks, templates, and methodologies in future work.
SafeDocs provides services and digital products with reasonable care and skill. However, to the fullest extent permitted by law:
Nothing in these Terms limits liability for fraud, gross negligence, or any matter that cannot be limited by law.
You may terminate a service engagement by providing written notice to SafeDocs in accordance with the notice period specified in your service agreement. Fees for work completed up to the termination date remain payable.
SafeDocs reserves the right to terminate or suspend a service engagement or access to the website where:
On termination, SafeDocs will return or destroy client data in accordance with the agreed data handling terms. Confidentiality obligations, intellectual property rights, and payment obligations that have accrued prior to termination survive.
These Terms are governed by the laws of Saint Lucia. Any dispute arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Saint Lucia.
Where a dispute arises, both parties agree to first attempt to resolve the matter through good faith discussion before initiating formal proceedings.
